Position Description

MANP is seeking a personable, flexible, detail-oriented multi-tasker to provide administrative support to all areas of MANP’s work, with tasks including, but not limited to, customer service by phone and email, finance and human resources support tasks, facilities coordination, and meeting scheduling and planning. The ideal candidate for this position is a clear communicator who is adept at learning different technologies, and finds satisfaction in keeping things organized and running smoothly.

Overview of Responsibilities 

This 24-28 hour a week position will perform the following functions.

Customer Service

  • Monitor general phone and email inboxes, responding to inquiries and/or directing to appropriate staff people.
  • Answer questions about MANP membership and benefits.
  • Help problem-solve technical issues with MANP’s online tools.

Administrative

  • Maintain office equipment, including phone system, copier/printer, and postage machine.
  • Act as point person for office space/facility/parking.
  • Complete routine and project-based data-entry tasks, and prepare lists and reports as needed.
  • Ensure outgoing mail is properly metered, recorded, and mailed.
  • Maintain office supplies.
  • Maintain print and digital filing systems and office storage.
  • Process event registrations, memberships, and other orders when received by phone, mail, or as assigned.
  • Provide support to the education team in preparing for events/trainings, particularly related to procuring and preparing printed materials.
  • Support the preparation and execution of member mailings. 
  • Provide administrative support for human resources tasks, including communication and tracking of applicants during hiring processes. 
  • Provide administrative support for the MANP board, including coordinating venues, food, and technology for meetings. 

Financial

  • Process payments made by mail or phone.
  • Process credits and refunds.
  • Prepare bank deposits.
  • Review outstanding invoices and execute collections procedures.
  • Process bill payments prepared by Bookkeeper.

Additional Duties

  • As assigned, attend major organizational functions and perform necessary tasks.
  • Actively participate in ongoing learning about equity, diversity and inclusion and their relationship to the organization’s work.
  • Contribute to the development and evolution of organizational vision, values, and workplans.
  • Participate in staff workgroups and meetings.
  • Other duties as assigned.

Position Requirements and Qualifications

We are excited to read applications from people with a wide range of work and life experiences. The candidate we hire will possess some combination of the following:

  • 1+ years relevant experience. 
  • Availability to work a 24-28 hour work week across a minimum of four days per week, with a minimum of 2 days in the office. 
  • Deep appreciation of the value of the nonprofit sector and commitment to MANP’s mission.
  • Excellent organizational and time management skills, and strong attention to detail.
  • Strong interpersonal skills including the ability to use courtesy and discretion in addressing the needs of multiple internal and external stakeholders simultaneously.
  • Ability to function productively in an open office plan, multi-tasking environment.
  • Demonstrated commitment to diversity, equity and inclusion.
  • Spoken and written English language fluency.
  • Technologically adept. Preference for proficiency with Microsoft Office, Google Apps, Zoom, and QuickBooks Online. 
  • Event setup and facility coordination can involve moving tables and chairs and some moderate lifting (up to 25 pounds) on an occasional basis (accommodation may be possible).
Compensation and Benefits

The starting wage for this non-exempt position is $24.28 per hour with a competitive benefits package, including: 

  • Retirement savings program, with an employer match up to 4% of wages
  • Workplace flexibility (including remote options, and a remote work stipend to help defray home office overhead)
  • Paid time off starting at 21 days per year (prorated for part-time employees by number of hours worked)
